Automation ROI Calculator
Estimate how much time an automation could save, what that time may be worth, and whether the expected savings could cover the setup and running costs.
Use your own workload and cost assumptions. The results are estimates, not a guarantee of savings or financial performance.
Describe the workload
Start with a typical month. You can change any value and the estimate will update.
Your estimated results
Based on the workload, labor value, and costs entered on the left.
These results value only the time difference between manual work and post-automation review. They do not estimate extra revenue or quality improvements.
HOW THE ESTIMATE WORKS
Understand the numbers before you decide
1. Net time saved
Monthly task volume × (manual minutes − review minutes), converted into hours. If review takes longer than the manual process, the result can be negative.
2. First-year net benefit
Estimated annual labor value minus 12 months of running costs and the one-time implementation cost.
3. First-year ROI
First-year net benefit divided by total setup and first-year running costs. If no costs are entered, ROI is not defined.
Calculation formulas
Monthly time saved = task volume × (manual minutes − review minutes) ÷ 60
Monthly labor value = monthly time saved × hourly labor cost
First-year net benefit = annual labor value − (monthly running costs × 12) − setup cost
First-year ROI = first-year net benefit ÷ (setup cost + annual running costs) × 100
Frequently asked questions
Does the calculator guarantee these savings?
No. It is a planning estimate based on the values entered. Real outcomes depend on data quality, failure rates, exception handling, adoption, and ongoing maintenance.
Should I include human review time?
Yes. Include the time required to review AI output, approve important actions, correct errors, and handle exceptions. Excluding this work can overstate the benefit.
Does the currency selector convert currencies?
No. It changes the currency symbol and format only. Enter the hourly rate and costs in the same currency you select.
What if my first-year net benefit is negative?
That indicates the estimated labor value does not cover the setup and first-year running costs under the current assumptions. Consider a simpler workflow, higher volume, lower operating costs, or retaining the manual process.
Planning tool only. Estimates exclude taxes, financing, opportunity cost, risk, revenue changes, and benefits that were not entered. Validate assumptions with a small pilot before committing to an implementation.
